Help

Why they differ — archive with PII vs personal CPD / journey log (not one store)

Log book and Past sessions

In-app help: open Help → Log book and Past sessions.

These two menu items both relate to finished trips, but they are not the same and are not merged into one store. Use this page to choose the right tool.

At a glance

Past sessions Log book
Menu Sessions → Past sessions when signed in (guests only see Sessions, which is active trips) You → Log on the Paddler hat (when signed in)
Purpose Operational archive of completed safety sessions Personal CPD / journey record (and training notes)
Data Live completed session + sign-in rows Snapshot copied at complete time into a separate log book store
Personal details Names, contacts, ICE where your role allows No names, phones, GP, or medical — pseudonyms only
After retention purge Session and sign-ins can be deleted Log book entry is kept (detached from the deleted session)
Who it is for Leaders (led), paddlers (joined), org duty/admin (host), Site administrator; thin public summary Leaders (own + training); participants (trips they joined)

Rule of thumb: need who was on the water and contacts? → Past sessions. Need your lasting leadership / journey record without personal data? → Log book.

Why they stay separate

Concern Why not one list / one database
GDPR retention Past sessions (with PII) can be purged; log book must often survive for CPD
Training Training entries are not safety sessions — they only belong in the log book
Duty / site administrator archive Named organisation history needs Past sessions, not a de-identified CPD book
Journey standards Long-term personal journey logs should not depend on keeping full sign-in PII forever

You may later see a single History menu with two tabs — that would still be these two backends underneath.

Journey log and Paddle UK / British Canoeing

The Log book is the personal journey / CPD book:

  1. Session journeys — when a session is completed, venue, launch/finish, distance, duration (from start/end if not set), craft, role, activity type, conditions, and water grade are snapshotted into the log book (and survive session purge). For trips you led, the group learning outcomes are kept as D (delivered as session leader) — a coaching log of what you ran, not a remit. Covered today on Wrap-up is what gets snapshotted. For trips you led, the group learning outcomes are kept as D (delivered as session leader) — a coaching log of what you ran, not a remit. Covered today on Wrap-up is what gets snapshotted.
  2. Participants — signed-in paddlers get their own journey copy (craft/role editable); guest safe-return links can edit craft/role/notes and export CSV.
  3. Training / CPD — add courses with hours, course type, provider, award/pathway tags (suggestions from your profile qualifications), plus optional claimed points, a points category, and points valid for (3 / 5 / 10 / 20 years, a date you set, or until you remove the entry). The date on the form is when you completed the course, not an expiry; Counts until is derived from valid-for. Course type can suggest a category and validity (Code of Conduct BCAB eLearning suggests 20 years). Log shows claimed points still counting and when the next chunk drops out. On Personal details you can set an optional scheme (Instructor / Coach / Leadership / other) and points I need in 3 years. PaddleSafe does not guess that from awards. If you are below target, or a large chunk drops out within 90 days, due soon appears on Log, Personal details, and account home — not on the roster, not emailed, not a session launch gate. Claimed in PaddleSafe, not registered on JustGo.
  4. Skills / learning outcomes — after a completed session (or on a training entry), log practised learning outcomes from the kayak catalogue, an optional self-rating (UI → UC), and teaching/assisting; session leaders may endorse from the session (not from Profile). Profile summarises the catalogue plus places, can-do counts, and declared awards without turning the catalogue into a Paddle Award. See Skills and learning outcomes (including how to read the letters).
  5. CPD evidence pack — Log → CPD evidence pack: choose a date range (default last 3 years), then Print / Save as PDF. Includes cover sheet (name, Paddle UK membership number from Personal details → Account & display, qualifications, declared first aid and safeguarding dates, a Code of Conduct reminder with a signature line, total hours, total claimed points, points by category) and one block per training entry with notes, claimed points/category, counts until, linked skills, and verifier signature lines. This is supporting evidence for your membership portal (JustGo) — it does not register CPD points with Paddle UK. First aid and safeguarding on the cover are not CPD points. The Code of Conduct line is a print reminder: PaddleSafe does not store a tick and does not stop a session launching. The official CoC record stays on JustGo. Journey sessions are not included.
  6. Coach pack — Log → Coach pack: the same print pattern for sessions you led. Cover sheet (membership number from the same profile field, first aid and safeguarding dates, the same Code of Conduct reminder and signature space, sessions, distinct D outcomes, duration, headcount) and one block per trip (venue, water, craft, headcount, duration, D group outcomes, My practice separately, optional coach reflection from wrap-up, notes, mentor/observer signature lines). Names stay off. It is not CPD hours, not a Paddle Award, and not a remit. Informal coaching / mentoring evidence is still uploaded by you on JustGo.

Export: Log → Paddle UK–style journeys CSV / report JSON (from log book snapshots; optional active sessions in “all” export).
